The Milwaukee office is seeking a Trademark Assistant (Intellectual Property) to provide executive legal assistance to attorneys and/or paraprofessionals in the daily operation of the Intellectual Property law department by providing quality work product for clients. In this role, you will assist the department in acquiring, protecting and maintaining trademark rights in US and foreign jurisdictions by fulfilling executive assistant duties and the performance of complex secretarial and clerical tasks to produce documents and meet requirements of the trademark process, using the firm standard word processing and other applicable software.

Responsibilities

  • Review and clear attorney dockets; communicate and follow-up on pending deadlines
  • Review and prepare attorney billing drafts; coordinate with attorneys and billing staff as needed
  • Enter attorney time daily in Intapp Time
  • Provide executive-level administrative support to attorneys, including complex tasks such as meeting planning, client communication, and scheduling
  • Prepare and process documentation related to trademark prosecution by accurately completing required forms and administrative tasks
  • Submit conflicts checks and new client matter information through OPEN; prepare engagement letters and assist with client billing as needed
  • Communicate relevant bar dates, priority deadlines, and working attorney/paralegal information to the Docketing team
  • Schedule appointments, coordinate conference and travel arrangements, and manage attorney calendars and contact lists
  • Create, organize, and maintain electronic client files; track and follow up on pending matters
  • Coordinate and schedule meetings; ensure necessary materials are prepared in advance and greet clients/guests as needed
  • Interact professionally and promptly with clients and internal teams; report information and respond to inquiries appropriately

Qualifications

  • High School Diploma or GED required; Associate's Degree or Bachelor's Degree preferred
  • Proficient in the use of Microsoft Word, Outlook, PowerPoint and Excel
  • Prior experience working in a legal setting preferred#LI-Hybrid 

In support of transparency and equity in the workplace, Foley provides salary ranges for all positions. The figures below represent the full compensation range of this position. The actual offered amount will likely be between the range minimum and midpoint based on the following factors: education, experience, geographic market, and internal pay equity at Foley.

- Milwaukee: $50,100 - 114,400
