The New York City office currently has an opportunity available for an Assistant in the Intellectual Property practice group. The candidate selected will provide legal assistance to attorneys and clients in all aspects of patent prosecution.  The Assistant will perform advanced-level legal and administrative support duties requiring sound judgment, critical thinking, project management, and advanced organizational skills that entail a high level of detail. 

Responsibilities

  • Assist attorneys by providing executive level administrative assistance through the performance of complex secretarial and clerical duties including: meeting planning and coordination, client communication, and scheduling, etc. 
  • Draft and complete documents/paperwork supporting patent prosecution by accurately and promptly completing necessary forms, documentation and other administrative tasks 
  • Respond appropriately to emails, telephone calls, letters and/or visitors; use resources to resolve and answer routine questions
  • Schedule appointments and make arrangements for conferences and travel; maintain attorney's calendar, contacts and daily docket to ensure that deadlines are met
  • Create, organize and maintain client files, follow up on pending matters
  • Maintain physical and electronic client, research and administrative files utilizing NetDocs
  • Set up meetings as requested, ensuring all required materials are organized in advance and greet clients/guests as necessary 
  • Interact professionally and promptly with clients and internal parties by reporting filing information and responding to questions appropriately 
  • Provide document production services, including styling and formatting of documents; proofreading and checking for appropriate formatting, spelling and grammatical errors
  • Manage incoming and outgoing mail/email including preparation of documents and packages for mail, messenger and overnight delivery; ensure that all attachments, exhibits and enclosures are intact
  • Submit conflicts check(s) and new client matter information through OPEN; prepare engagement letters and assist with client billing as required
  • Manage and maintain electronic e-docket and secondary docket

Qualifications

  • High School Diploma or GED required; Associate's Degree or Bachelor's Degree in a related field preferred
  • Proficient in the use of Microsoft Office Suite required
  • A minimum of three (3) years’ experience as a legal assistant required
  • Experience in Intellectual Property required
  • Experience in or exposure to the Chemical, Biotech, & Pharmaceutical preferred
  • Experience in or exposure to Anaqua preferred#LI-Hybrid

 

Pursuant to the New York City Human Rights Law, the salary range for this New York based position is between $58,300 - $132,900.  These figures represent the full compensation range of this position. The actual offered amount will be determined based on the following factors: education, experience, geographic market, and internal pay equity at Foley.
