We are seeking an Assistant (Intellectual Property) to provide executive legal assistance to attorneys and/or paraprofessionals in the daily operation of the Intellectual Property law department by providing quality work product for clients.  In this role, you will assist the department in US and foreign patent prosecution filings by fulfilling executive assistant duties and the performance of complex secretarial and clerical tasks to produce documents and meet requirements of the patent prosecution process, using the firm standard word processing and other applicable software.

Responsibilities

  • Assist attorneys by providing executive level administrative assistance through the performance of complex secretarial and clerical duties including: meeting planning and coordination, client communication, and scheduling, etc.
  • Draft and complete documents/paperwork supporting patent prosecution by accurately and promptly completing necessary forms, documentation and other administrative tasks 
  • Schedule appointments and make arrangements for conferences and travel; maintain attorney's calendar, contacts and daily docket to ensure that deadlines are met
  • Create, organize and maintain client files, follow up on pending matters
  • Set up meetings as requested, ensuring all required materials are organized in advance and greet clients/guests as necessary
  • Interact professionally and promptly with clients and internal parties by reporting filing information and responding to questions appropriately 
  • Open new client and client-matters, communicate relevant bar dates, priority information, working attorney and paralegal information to Docketing
  • Create and update FLIP Form Data Record
  • Assist with preparation of shell documents and edit the following documents for filing: new applications, amendments & responses and other USPTO filing documents

Qualifications

  • High School Diploma or GED required; Associates Degree or Bachelor's Degree in a related field preferred
  • Prior experience working in a legal setting preferred
  • Proficient in the use of Microsoft Word, Outlook, PowerPoint and Excel #LI-Hybrid
